Site Navigation / General

My organisation has a homepage on connectingcare.com, how do I update the details on it?
Browse to the region that your organisation’s page is in and then click on the contact link at the bottom of the page. This will give you the contact information of the person responsible for updating your organisations info. Alternatively if you have level 2 access to the site you can update your organisations home page and services yourself.
How do I import my Medical Director client information into the referral form?
See the Medical Director setup page.
I keep getting Javascript error messages and the referral form does not work properly.
You are using an incompatible or out of date browser. The preferred browsers for using this site are Internet Explorer 5.5 or higher or Netscape Navigator 6.2 or higher. I would recommend upgrading to the latest version of Internet Explorer, currently version 6 SP1. This version also enables support for 128bit encryption which is a requirement for using the referral form.

Data Collection and Input

Logo’s - how do we upload a graphic? or two?
A request via site administration to access the upload page for logo’s will provide you with instructions on how to complete, only if you have been identified as designated Regional Database Administration contact for this region. See Data Entry & Collection Guide Page 9. If you want to upload two logos, try saving the two files as one first. Note the recommmended file type, size and dimensions before saving.
How do we place two logo’s on an agencies page.
Combine both of the logo’s into one image using your image editing software.
Is there a limit to the number of pages a service can have?
Not at this stage and probably not in the future, unless we see an agency adding a couple of hundred services or more. It will only affect the readability of the providers home page as it will be very long and unfriendly to use.

Electronic Referral

How does the system track the referral eg. Receipt, acceptance response etc?
If sending by Fax it cannot - purely on refer and receiver following feedback process. E-mail - through PKI messaging process.
How much memory does the encryption software use?
There is no encryption software. Files are loaded into your email programs that enable it to decrypt the encrypted messages sent to you and so you can send signed messages. Therefore the memory requirements are the same as what your computer currently has (no additional requirements).
Can each set of keys be used on more than one P.C.?
Location Keys: Technically yes - some agency environments and email clients may not allow this. A number of agencies have been able to associate keys with different intake email accounts within the same organisation. Private Key: As above
I can’t send encrypted messages to anyone using Outlook.
You can only send encrypted messages to people whom you have a public key for. It is not possible to send an encrypted message to someone who does not have a private key to decrypt messages.
I can’t send an email response back after receiving a referral from connectingcare.com
It is not currently possible to do this. The main reason being that only a small number of agencies actually have the capability to sign and decrypt emails. A fax back feedback form is provided as part of the referral for this purpose.
Every time I try and send an email in Outlook it says that it can’t find a key to encrypt the message for the recipient.
You have specified in the options (in Outlook) to encrypt every message sent from this computer. This is probably not a good option as in most cases you won’t know the encrypting key for the recipient (as they probably don’t have one) and therefore won’t be able to encrypt the message.
Every time I try and open an encrypted email, Microsoft Outlook crashes with an error in module rtfhtml.dll
This can happen if you have both Outlook 2002 (XP) and Outlook 2000 on the same computer. Remove both versions of Office and then re-install the version you will be using.
How do I install my HeSA digital certificates/keys into my computer?
See Installing Digital Certificates document.
What process do I need to follow to enable my organisation to receive encrypted referrals?
See Encryption Project check-list document.
Once a referral has been sent by e-mail, is there any way that the receiving agency can send an electronic notification to the sender confirming the receipt of the referral?
As of 19/9/02 when a referral is received the receiver will be asked to send a read receipt back to the sender. This may not work on all email programs. Whether it works or not you are encouraged to fill out the fax back form included with the referral and fax it back to the sender.
I have just gone back into the referral process and all the data I have entered previously has gone. So if there is a problem and I have to go to ’contact us’ I lose all I have done!
The referral is meant to be filled out as one continuous process. If you decide to browse around the site during the middle of the referral then your data will be lost. The only way to get around this would be to save the data on the server, but this would contravene our principal of not keeping any confidential client data on our server.
How does the system track the referral eg. Receipt, acceptance response etc?
If sending by Fax it cannot - purely on refer and receiver following feedback process. E-mail - through PKI messaging process.
